Founded in 2002, London Metropolitan University is the highest ranking ‘millennial’ university in the UK and provides over 160 degree and professional courses for 13,000+ students from the UK and abroad.
Offering everything from Business & Law, Human and Social Sciences to Art & Architecture, LMU operates from three sites across London, with the main campus in Islington, housing a £30m "Super Lab" claimed to be one of Europe's most advanced science teaching facilities.
Maintaining the buildings is key to the smooth running of the University and with contractors undertaking hundreds of maintenance jobs each year, the Health & Safety Team were looking for a better way to manage the provision and tracking of permits for them coming onto LMU sites.
Google Cloud Partner Refractiv worked with the LMU team to develop an online system to generate and manage permit requests. Utilising the University’s existing G Suite accounts, Refractiv designed a dynamic Google Form for staff to request the permit for work and upload supporting information such as risk assessments. Each application is sent automatically to an OverDRIVE web portal for management and reporting and the Health & Safety Team has online access from any device to monitor and approve applications.
“The original paper based system had become inefficient and other electronic alternatives were costly and would have taken considerable time to develop, so using our existing Google platform and combining it with an OverDRIVE site was an ideal solution. The new online setup is simple for our team to use, the site is user friendly and it’s been a quick, cost effective and smart way to solve what was becoming a challenging problem.”
